Setting stock limits for items or time slots in your form

Limit how many times an option can be selected, ideal for things like t-shirt stock or start times.

⚠️ Heads up: Editing dropdown option labels after going live will reset the limit for that option. Please see the guidance at the bottom of this article for more details.

What this feature does

When adding a dropdown field to your event form, you can set a limit per option by enabling ''Set Options Limit''. This allows control over how many supporters can select a specific choice, for example:

  • T-shirt sizes (e.g. only 200 Medium shirts available)

  • Start or wave times (e.g. 50 people per time slot)

Once the limit is reached, that option will no longer be selectable on the form.

When to use this

This is useful when you need to manage limited availability, such as:

  • Event merchandise (t-shirts, packs, etc.)

  • Timed entry or wave starts

  • Sessions with limited spaces (e.g. workshops or time slots)

How to set option limits

  1. Head to Campaigns > Event Registration > Your Event > Forms

  2. Add a new Dropdown field (or edit an existing one)

  3. Scroll to Set Options Limit and toggle this on

  4. Add your dropdown options (e.g. Small, Medium, Large or 9am, 10am, etc.)

  5. Enter a limit next to each option

Once saved, each option will only be selectable up to the limit set.

Example

If you have:

  • Small: 50

  • Medium: 100

  • Large: 50

Once 100 supporters select Medium, it will no longer appear as an available option on the form.​

⚠️ Important: Editing dropdown options after going live

Once your event is live and people have started registering, changes to dropdown options can reset the limits you’ve already set.


1. Changing the limit (safe)
If you only change the number of spaces available, nothing resets.

Example:

  • Medium shirts go from 100 → 200 available

  • 50 people have already selected Medium

Result: 50/100 → 50/200
(The count stays the same, you’re just increasing the limit)


2. Changing the text of a dropdown option (resets to 0)
If you change the wording of an option in any way, it is treated as a new option.

Example:

  • “Medium” → “Medium (Unisex)”

  • “Small, Medium, Large” → “S, M, L”

  • Fixing a typo

Result: 50/100 → 0/100
(The count resets because it’s now seen as a different option)


Key thing to remember
If you change the text of an option, the count will reset - even for small edits like fixing a typo.


Planning ahead
If you need to rename an option after going live, update the limit to reflect how many people have already selected it.

For example:

  • 50 people selected “Medium” (50/100)

  • You rename it to “M”

The count will reset to 0, so you should set the new limit to 50 to keep things accurate.
