How Does Fundraiser Matching on GivePanel Work?

Fundraiser Matching is the process of matching Registrations (that come in by a event registration form or event registration with 1-click form) with Facebook and JustGiving Fundraisers in your GivePanel account.

This process ensures that all the data you receive in a registration is added to its associated fundraiser. This makes it easier for you to find the details you need to send emails, see marketing opt-ins, and more.

There are three different types of matching:

  1. Instant Matching

  2. Automated Matching

  3. Manual Matching

Instant Matching

Instant Matching is where a supporter has completed an event registration with 1-click form (which is where they register and create a fundraiser in a few clicks) when this happens, the fundraiser and registration come straight into your account and are instantly matched.

Automated Matching

To get started head to Audience > Registrations in your GivePanel account. Then, click "Find Fundraisers to Match Registrations":

This will open up a list of fundraisers with a green label to let you know if it has been matched. Click "Run Automated Matching":

From here, choose your event and click "Match Fundraiser":

You will receive a success message letting you know how many records were matched. Click "Back to Fundraiser Matching":

You will see your Fundraiser(s) labeled "Matched"

That's it for Automated Matching!

Please note: Automated Matching searches for potential matches for each registration by looking at Fundraisers created two weeks before the selected Event's first registration and two weeks after the last registration for that Event. Anything out of that range must be matched manually.

Some things to note about the Automated Matching process:

  1. Matching will only take place if both the Facebook Fundraiser and the Event Registration have the same name.

  2. Registrations/Fundraisers created through the 1-Click Event Registration form will be matched instantly without any action from you or your team.

  3. Not every Fundraiser/Registration will be automatically matched, and this is where manual matching comes in.

Manual Matching

To get started on Manual Matching, head to Audience > Fundraisers in your GivePanel account and open the Fundraiser Record you want to match. Click "Find matches"

You will see a list of options. Click "Match to Fundraiser" on the Registration you want to match. NOTE: If you can't find a registration in this list, click the "Expand Date Range" button which will look for registrations 60 days before and after the fundraiser start date.

A green banner will appear on the top of your screen letting you know that the match was successful!

Close out of the "Find Registration" box and you are all set.

Tips to get the most out of Matching

  1. Always run Automated Matching first

  2. The 1-Click Event Registration form will simplify your matching process

  3. If necessary, you can un-match manually. Follow the matching steps but instead of clicking "Match to Fundraiser", click "Un-match".

FAQs

Will the automated matching overwrite our manual matching?

No, never. As soon as you have made a manual match our automated algorithm will ignore this fundraiser going forward.

Does Fundraiser Matching still run every night or do I have to select the button when I want to find matches?

Currently clicking "Run Automated Matching" is the only way that the system will automatically create matches. This does not include Registrations/Fundraisers created with the 1-click Event Registration form which will match almost immediately without any action.

Has anything changed about the Export to CSV report for Registrations?

No.

Why is Matching not working?

Check the event start date. If this is more than 30 days into the future, the matching algorithm won't work. It does not pick up any registrations outside of 30 days.

If struggling to manually match, you may need to temporarily edit the fundraiser contact name so it more closely matches the name of the registration record (this can be done when on the fundraiser record by clicking on the little pencil icon and editing the name)
