How To Use The Email Journeys Tool

Send automated emails to your supporters across GivePanel campaigns, including GivePanel Events, DIY and Virtual Events.

About Email Journeys

Email Journeys allow you to send automated emails to your supporters based on their activity and progress.

These emails are typically used for stewardship, helping you guide, motivate and support participants throughout their journey.

If you are using GivePanel Events, DIY or Virtual Events, please see Product differences at the bottom, as some features may vary.

You can trigger emails based on things like:

  • Time since registration

  • Event dates

  • Fundraising progress

  • Whether a supporter has created a fundraiser​

Where to Find Email Journeys

Depending on the product you are using:

GivePanel Events
Go to: Event → Emails → Email Journeys

DIY and Virtual Events
Go to: Campaigns → select your campaign → Email Journey

Setting Up Your Email Journey

  1. Open your campaign or event

  2. Navigate to Email Journeys

  3. Add your email settings:

    • From name

    • From email (must be a verified domain)

    • Reply to email (optional)

  4. Click Add New Email to create your first email

Email Types

There are two types of stewardship emails you can create:

Personal emails

  • Simple, text based emails

  • No branding or buttons

  • Best for a more direct, personal tone

Branded emails

  • Include images, buttons and styling options

  • Better for structured, campaign style communications

Personalisation

You can personalise your emails using merge tags.

Common examples include:

  • [Firstname /]

  • [Lastname /]

  • [Email /]

  • [EventTitle /]

  • [CampaignID /] (available for matched registrations)

  • [FundraisersPageURL /] (available for matched registrations)

  • [UnclaimedPageURL /] (available for registrations matched to JustGiving fundraisers)

  • [RegistrationFormURL /]

  • [FacebookGroupURL /] (add this in the campaign setup)

  • [PublicCampaignName /] (add this in the campaign setup)

Sending and Triggers

Each email in your journey is sent based on a trigger.

Common trigger types include:

  • X days after registration

  • Before or after event start date

  • Based on amount raised

  • Based on whether a supporter has a matched fundraiser

Once your email is ready:

  • Toggle it to Active

  • Click Save changes

When Are Emails Sent

Emails are processed in hourly batches.

UK and Rest of World
9am to 2pm BST / 10am to 3pm GMT

US
11am to 4pm BST / 12pm to 5pm GMT

If you create or activate an email during this window, it will send in the next available batch.

Emails triggered by fundraising activity are also checked hourly.

Email Design and Branding

Transaction emails (such as registration confirmations for GivePanel Events) are styled using the Branding tab.

Stewardship emails within Email Journeys are styled individually within the email editor and branding can be set in account settings > Email > Branding

Adding Attachments to Your Emails

You can include file attachments in your journey emails (for example, training guides, fundraising packs or event resources).

How to add an attachment

  1. Open your email within the journey builder

  2. Scroll to the Attachments section

  3. Upload your file

  4. Save your email

Important: Testing Emails with Attachments

Attachments are not included when using the Send test email button.

Test emails are designed to preview layout and content only. Attachments are only delivered when the email sends live to supporters through the journey.

Accepted file types: PDF, Word, Excel, CSV, JPG, PNG

Product Differences

GivePanel Events

  • Email Journeys are accessed via the Emails tab within a GivePanel Event (unlike DIY and Virtual where you would need to head to messaging in the main navigation and then select email journeys)

  • Supports standard triggers such as registration, event dates and fundraising progress

DIY Campaigns

  • Supports additional segmentation options

  • For example:

    • JustGiving event type (Running, Gaming or Weddings)

    • Percentage of target raised

  • DIY fundraisers can have a personal event start and end date

    • You can trigger emails based on a supporter’s personal event date

Virtual Events

  • Uses a similar structure to DIY

  • Some advanced DIY triggers may not be available

    • For example, personal event date based triggers or JustGiving event type segmentation

Organic Facebook Fundraising

Email Journeys are not available for organic only fundraisers.

You can still use GivePanel to capture supporter contact details and email them outside of journeys.
