About Email Journeys
This article explains how email journeys work in GivePanel across products. Some triggers and options are only available in certain products. If you are using DIY or Virtual Events, please see Product differences at the bottom.
Once email journeys have been enabled in your account, this feature allows you to schedule emails to event participants based on triggers and conditions such as x days after registration, amount raised, and fundraising platform.
Examples of emails you can send
10 days after event start date to registrations with no matched fundraiser (Virtual Events)
1 day after registration to all registrations
To fundraisers with 100 raised using amount raised triggers
How does it work
When you create a campaign (event), you can set up a data capture form and customise fundraiser appearance e.g. set the banner image.
Towards the end of the setup you will be prompted to create the email journey. This is where you add your emails and set the triggers.
Steps to create an email journey
Head to Campaigns in the top navigation and select Campaigns.
Create a new campaign or open the campaign you want to edit.
Click the pencil icon next to the campaign.
Click Email Journey.
In Email Settings add:
From name
From email (this must be a verified domain. Not sure which domains are verified? Email [email protected])
Reply to email (optional)
Click Add New Email.
Email types
Personal emails are text based with no branding or buttons and are good for a personal tone.
Branded emails include branding options, buttons, font selector and banner images.
Personalisation
You can use these merge tags in the body of your email.
[Firstname /]
[Lastname /]
[Email /]
[EventTitle /]
[CampaignID /] (available for matched registrations)
[FundraisersPageURL /] (available for matched registrations)
[UnclaimedPageURL /] (available for registrations matched to JustGiving fundraisers)
[RegistrationFormURL /]
[FacebookGroupURL /] (add this in the campaign setup)
[PublicCampaignName /] (add this in the campaign setup)
Sending and triggers
You can choose from several trigger types depending on your campaign and product. When you are happy with the email, toggle it to Active and click Save changes.
When are emails sent
Emails triggered by date are sent in hourly batches.
UK and Rest of World 9am to 2pm BST / 10am to 3pm GMT
US 11am to 4pm BST / 12pm to 5pm GMT
If you create an email during this window it will send in the next hourly batch. Emails triggered by amount raised are also checked hourly.
If you need a different sending time please contact [email protected].
Corporate emails banner size
The styling sets the width as max width 680px but some email programs ignore this. We recommend using an image that is no bigger than 800px wide.
Product differences
DIY supports some additional conditions. For example segmenting emails by JustGiving event type such as Running, Gaming or Weddings.
DIY fundraisers can have a personal event start and end date (this is the date the supporter said their DIY fundraising was taking place). You can trigger emails from these dates. For example send a good luck email on the event start date.
Some upcoming DIY email trigger updates include segmenting by percentage of target raised and combining JustGiving event type with fundraising target.
Some DIY only triggers will not appear in Virtual Events even if they are mentioned above. For example personal event date-based triggers or triggers that rely on a JustGiving event type.
Email journeys are not available for organic only fundraisers.
You can still use GivePanel to capture supporter contact details and email them outside of journeys.
For guidance see Stewarding organic fundraisers.
